A delayed setting-out check, an unexpected utility survey or a client request for a point cloud can change a project plan in a morning. The question of when to hire survey instruments is therefore not simply about avoiding a capital purchase. It is about getting the right level of accuracy, capability and technical support on site when the programme demands it.
For many UK survey, construction and inspection teams, hire is the most commercially sensible route when equipment use is short-term, specialist or uncertain. Ownership remains the right choice for regularly used kit, but a well-planned hire arrangement can protect cash flow, reduce downtime and give teams access to current technology without committing to equipment that may sit idle between jobs.
When to hire survey instruments instead of buying
The clearest case for hire is a defined project with a defined finish date. If a GNSS receiver, robotic total station, laser scanner or cable avoidance tool is needed for several days or a few months, the cost of buying, insuring, maintaining and eventually replacing it may outweigh the benefit of ownership.
Hire also makes sense when the work is outside your usual scope. A civil engineering contractor may use total stations every week but only occasionally need a thermal camera for a building-diagnostics investigation. An architectural practice may require a Matterport system for a single property portfolio, while an archaeological team may need a laser scanner for a complex recording exercise. Buying specialist equipment for one-off work can tie up budget and leave your team responsible for a system they rarely operate.
There is another practical reason: technology moves quickly. Reality capture, machine control, drone payloads and GNSS workflows develop far faster than many capital replacement cycles. Hiring lets a business use an appropriate current-generation solution for the job in hand, then assess whether demand is consistent enough to justify a future purchase.
Short programmes and peak workloads
A busy period is not always a reason to buy another instrument. It can be a reason to add capacity temporarily.
Survey teams often face overlapping site programmes, holiday cover, tender wins or a run of urgent as-built surveys. Hiring an additional total station or GNSS rover can keep crews productive without forcing staff to share one instrument across distant sites. In these cases, the instrument is only one part of the decision. You need to establish the required accuracy, deliverable, site conditions, permissions and operator competence before choosing the model. A scanner with the wrong range or registration workflow can create more processing time than it saves. A GNSS receiver can be an excellent productivity tool, but not beneath dense tree cover, beside tall structures or where a local control strategy is required.
Hiring through a technical supplier gives you a chance to match the equipment to the actual task rather than selecting the most familiar item on a product list.
Do not hire capability you cannot use
The highest-specification instrument is not automatically the best hire choice. A robotic total station may be ideal for one-person setting out, but only if the operator is confident with the workflow and site control is sound. A laser scanner can collect huge volumes of data quickly, yet the time required to register, clean and issue that data must be allowed for in the programme.
Where a team is new to an instrument type, factor in a demonstration, basic familiarisation or formal training. This is particularly relevant for scanning, drone operations, machine control and specialist detection equipment. The value of hire can be lost quickly if the kit arrives on site without a clear plan for its operation or data handling.
When equipment failure creates a hire requirement
An instrument out of service can stop productive work immediately. A damaged prism, worn battery, failed controller or calibration issue may appear minor, but it can affect accuracy, safety or programme certainty.
Emergency hire is useful when your own equipment is undergoing servicing or repair, especially where project deadlines cannot move. It also provides breathing room to make a better replacement decision. Rather than buying the first available unit under pressure, you can hire suitable equipment, maintain site progress and compare the options properly.

It can be the better option where usage is frequent and predictable, particularly for core equipment such as the total stations, GNSS receivers or detection tools your teams rely on every day.
Hiring shifts much of that commitment into a known project cost. It can make quotations more accurate, particularly when a client has requested a specialist survey deliverable. It may also avoid the risk of purchasing equipment that becomes underused after one contract ends.
However, long or repeated hires can become more expensive than ownership. Review how often you have hired the same category over the previous 12 months and how much future work is already secured. If the pattern is regular, ask for a purchase comparison rather than automatically extending another hire.
Plan the hire around the working environment
The right instrument on the wrong site can still be the wrong solution. Before arranging hire, consider access, weather exposure, security, power, communications and the working area.
For example, a construction site may require a controller with dependable connectivity, a rugged field tablet and spare batteries to avoid lost time. A rail-side, highway or congested urban location may place greater emphasis on safety procedures, visibility and secure instrument set-up. Indoor scanning projects need a plan for moving through occupied buildings, managing reflective surfaces and protecting client information within captured imagery.
It is also worth checking what accessories are required. A total station job may need tripods, prisms, poles, brackets and a suitable controller. A GNSS workflow may require radio equipment or corrections access. Cable detection work may require both a locator and transmitter, plus competent use of the appropriate operating modes. Small omissions can cause a full day of avoidable delay.
Questions to answer before you book
A short conversation before mobilisation can prevent an unsuitable hire. Be ready to confirm:
- the task, required accuracy and final deliverable;
- the site environment, access constraints and programme dates;
- who will operate the equipment and their experience level;
- the accessories, software, data formats and support required.
Hire as a route to a better buying decision
Hiring is not always an alternative to purchase. It can be the most reliable way to test whether a technology will improve your workflow before committing capital.
A contractor considering machine control can hire equipment for a live earthworks package and measure the effect on setting-out time, rework and plant productivity.
