A delayed setting-out survey, an unresolved utility strike risk or a scanner that cannot deliver the required point-cloud accuracy can quickly put pressure on a programme. Knowing how to hire survey equipment is therefore less about finding the lowest weekly rate and more about securing a complete, project-ready solution that performs reliably on site.

For many surveying, construction and inspection teams, hire is the practical route to specialist technology without tying up capital in equipment that may only be needed for a defined phase of work. The right approach starts with the job, the required output and the conditions your team will face - then works back to the instrument, accessories, software and support needed to deliver it.

Start with the deliverable, not the instrument

Before requesting a quotation, define what the equipment must help you produce. A topographical survey, control network, as-built check, measured building survey, utility investigation and façade inspection may all require very different tools, even where the site appears similar.

Be specific about the required accuracy, coordinate system, survey control, area to be covered, expected volume of work and final format of the data. If you need design points set out to millimetre-level tolerances, a robotic total station may be the appropriate choice. If the task is mapping a large open area efficiently, GNSS may be more suitable, provided satellite visibility and correction coverage are adequate. For detailed existing-condition capture, a laser scanner can produce comprehensive data quickly, but your team must also be able to register, process and use the resulting point cloud.

This distinction matters because hiring a highly capable instrument is not automatically the best value. A scanner may be excessive for a limited set of measured dimensions, while GNSS alone may be unsuitable beside tall buildings, beneath dense tree cover or in locations with restricted sky view. A good hire discussion should challenge assumptions early and match the equipment to the output rather than the product name.

Check site conditions and operational constraints

The same equipment can perform very differently depending on where and when it is used. Review the site before choosing a hire package. Consider access, working space, ground conditions, line of sight, mobile signal, satellite visibility, weather exposure and the presence of live traffic, plant or members of the public.

On busy construction sites, a robotic total station can allow one-person operation and reduce time spent moving between the instrument and prism. On a large infrastructure corridor, GNSS can improve productivity, although radio or network correction arrangements need confirming in advance. Indoors, in basements or around complex steelwork, terrestrial scanning or total station control may be more dependable than satellite-based methods.

Utility work requires an especially cautious approach. A cable avoidance tool and signal generator should be selected with the task, site rules and competent operator requirements in mind. Detection equipment supports safer excavation planning, but it does not replace safe digging procedures, records review, permits or a proper site-specific risk assessment.

Choose a complete hire package

A survey instrument on its own is rarely enough to begin work. When hiring, confirm exactly what is included and what remains your responsibility. The package should suit the workflow your team will use on site, not simply the headline specification.

For a total station, that may mean a tripod, tribrach, prism, pole, batteries, charger, controller, data-collection software and relevant mounts. A GNSS setup may require a rover pole, bracket, controller, correction service access and, where needed, a base station or radio. With a laser scanner, establish whether targets, spare batteries, registration software and adequate data storage are included.

Also ask whether the equipment is configured for your coordinate system and preferred coding or stake-out workflow. A project can lose valuable hours if the team receives correctly functioning equipment that is not set up for the local grid, design file or control arrangement. Where files need preparing before delivery, allow time for this rather than leaving it until the first morning on site.

Confirm accuracy, calibration and condition

Professional hire equipment should arrive clean, checked, charged and ready to use. However, it remains sensible to ask about its service history, calibration status and pre-hire inspection process, particularly where work carries contractual accuracy requirements.

Calibration is only part of the picture. A total station may be within calibration, but the job can still be affected by poor setup, unstable control, damaged prisms, incorrect prism constants or unsuitable atmospheric settings. GNSS results can be compromised by multipath, poor corrections or an unsuitable observation method. The supplier should be able to explain the practical limits of the equipment and the checks your team should carry out before relying on collected data.

On receipt, inspect the case contents and condition of the equipment. Perform basic functional checks before mobilising to the work area, and record any concerns immediately. This protects your programme and avoids uncertainty when the equipment is returned.

Factor operator confidence into the hiring decision

Specialist equipment only improves productivity when the person using it understands the workflow. This is particularly relevant for laser scanning, drones, machine control, thermal imaging and modern robotic systems, where the hardware is only one part of the process.

Be honest about the team’s experience. If the operator is familiar with conventional total stations but new to robotic working, a handover or short training session can prevent avoidable downtime. If a scanner is being hired for the first time, ask how scans should be planned, what registration method is appropriate and what software steps are needed after capture. For drone operations, make sure the flight, permissions, insurance, competency and data-capture responsibilities are properly addressed before equipment arrives.

Technical advice and onsite demonstrations can be more valuable than a marginal saving on the hire rate. The goal is not simply to obtain equipment, but to complete the work safely and produce usable data within the available programme.

Understand the true cost of hiring survey equipment

The day or week rate is only one component of cost. Ask for clarity on the minimum hire period, delivery and collection charges, consumables, software licences, correction subscriptions, insurance expectations, excess amounts and late-return terms. If the equipment needs to be delivered to a restricted-access site or timed around a possession, clarify those logistics at the outset.

Think about utilisation as well. Hiring a high-specification instrument for several weeks can be sensible when it prevents a programme delay or avoids subcontracting work. But if the equipment will sit unused while another trade completes its work, a shorter hire period or staged delivery may be more cost-effective.

For longer projects, compare hire against purchase without treating the decision as purely financial. Ownership may suit teams using the same equipment continually and able to manage servicing, updates, storage and operator development. Hire is often stronger where technology changes quickly, demand is irregular or a project needs an additional instrument to meet a temporary workload peak.

Plan delivery, support and return around the programme

Equipment should arrive early enough for configuration and familiarisation, especially on complex projects. Provide the supplier with the delivery address, site contact, access restrictions and any booking requirements. Confirm who will sign for the kit and where it can be stored securely when not in use.

Ask what technical support is available during the hire period and how quickly a replacement can be arranged if a fault occurs. This matters most where an instrument is central to daily production or where work is taking place outside normal hours. A capable support team can often resolve a configuration issue remotely, preventing an unnecessary site visit or lost shift.

At the end of hire, clean and repack the equipment carefully, check that all accessories are present and back up project data before the collection date. Do not leave data transfer until the last minute, particularly where controllers or scanners hold files that are required for reporting, setting out or record purposes.

A practical route to the right equipment

The strongest hire decision is made when the supplier understands your application, site constraints, target accuracy and available skills. Share the information early, including project dates, deliverables and any unusual working conditions.
